AI credit control: recovering missed payments fairly

Missed payments quietly drain cash flow, and chasing them is often the job nobody has time for. AI credit control can follow up failed direct debits and overdue balances with polite, consistent reminders and calls, offer an easy way to pay and hand anything sensitive to a person. This article explains how it works, where the limits are and how to treat customers fairly along the way.

Why do missed payments go unchased?

In many small and medium businesses, credit control is squeezed in around other work. Reminders go out late or not at all, calls are made when someone has a spare hour, and the tone varies depending on who is doing it.

Meanwhile, a failed direct debit that is not followed up promptly can turn into an overdue balance that is much harder to recover. The issue is rarely unwillingness. It is time, consistency and a process that depends on people remembering.

What can AI credit control do?

AI can take on the routine, repetitive parts of credit control. Depending on how it is set up, it can:

  • Spot failed direct debits and overdue balances in your systems
  • Send reminders by email or text on an agreed schedule
  • Make outbound calls to remind customers and answer simple balance questions
  • Send a secure payment link so the customer can pay straight away
  • Record promises to pay and follow up if they are missed
  • Update the customer's record so your team can see what has happened

How should reminders and calls be worded?

Consistency is one of the main benefits. Every customer gets the same clear, courteous treatment, whoever is busy that day.

Good reminders and calls:

  1. Say clearly which business is contacting them and why
  2. Tell the customer they are dealing with AI
  3. State the amount and what it relates to, without threats or pressure
  4. Offer simple ways to pay, and a way to speak to a person
  5. Happen at reasonable times of day

Outbound calls and messages must follow UK rules on marketing and nuisance calls, and customer details are personal data under UK GDPR. Check both before anything goes live.

How do payment links keep card details safe?

Card payments taken by phone must be handled securely under the PCI DSS standard. As a rule, an AI agent should not hear or store full card details unless the system has been built for that purpose.

A simpler approach is to send a secure payment link by text or email. The customer pays through a secure payment page, and card details never pass through the AI or appear in call recordings. It is also convenient for customers, who can pay when it suits them.

When should AI hand over to a person?

Knowing when to stop is as important as knowing when to chase. The AI should pass the customer to a person when:

  • The customer disputes the amount or says they have already paid
  • There are signs of financial difficulty or vulnerability
  • The customer asks to speak to someone
  • The customer wants to complain
  • Promises to pay have been broken more than once
  • The balance or situation falls outside the rules you have set

The person picking it up should see the full history, so the customer does not have to explain everything again.

How do you treat customers in financial difficulty fairly?

Some customers miss payments because they are struggling. They deserve patience and a real conversation, not a stream of automated reminders.

Design your process so that signs of difficulty pause automated chasing and route the customer to a trained person. That person can listen, agree a realistic arrangement where possible and point the customer to free, independent debt advice.

Regulated businesses, for example those offering consumer credit or other financial services, must follow their regulator's rules, including treating customers in financial difficulty fairly. The AI needs to work within those rules, and your compliance lead should review the scripts, triggers and hand-overs before launch.

How do you measure results?

Record your current position first. Useful measures include cash collected, time taken to collect, the share of customers reached, promises to pay made and kept, the number of disputes and complaints, and how often customers are handed to a person.

A simple worked example

As a hypothetical example with round numbers, suppose a credit controller spends 15 hours a week on reminders on a salary of £30,000. With about 20% employer on-costs, that is £36,000 a year, or about £21.80 an hour over roughly 1,650 paid hours. Fifteen hours a week for 52 weeks is 780 hours, or about £17,000 a year. If AI removed between a third and two thirds of that work, the saving would be roughly £5,700 to £11,300 a year, before system costs. Any improvement in cash recovered would come on top.

Will AI credit control upset our customers?

Handled well, it can feel more reasonable than inconsistent human chasing, because every customer gets the same polite approach. Problems tend to arise when the tone is wrong or there is no easy route to a person, so test the wording carefully and make hand-over simple.

Can AI agree payment plans with customers?

It can record simple arrangements within limits you set, such as a short delay to a payment date. Anything outside those limits, and any customer in financial difficulty, should go to a trained person. Regulated businesses should check what their regulator expects before automating any part of this.
